Why the scouting database is the department, not a tool for it

It is Sunday night. Fourteen scouts have filed reports from weekend games. Clubs treat scouting as a people function, which it is, and then run it on infrastructure that guarantees the people's work evaporates. The reports exist. The judgement inside them is not retrievable, comparable, or checkable against what happened next. That is the loss. Recruitment commits transfer fees and multi-year wages, and it is the one department where a club's own intellectual property, the way it decides what a good player is for this coach and this budget, is routinely stored in tools that give the same structure to every rival using them.

Problem 1: a shared product hands you someone else's model of a footballer

Every scouting product ships with a report template: attributes, a scale, a summary, a recommendation. It is reasonable and it is generic, which is exactly the problem. Your recruitment brief is not generic. If your coach plays a high line, your centre back profile weights recovery pace and defending in space far above aerial dominance, and your report should force scouts to answer that question rather than fill a general form. If you buy young and sell at 23, your reports need trajectory and character evidence weighted differently from a club buying for the next 18 months.

So the sporting director reads an assertion and has to trust it, and the analyst re-watches from scratch to verify.

Problem 4: recruitment is a pipeline, and clubs pretend it is a list

A target is not a row. It is a state: identified, being watched, shortlisted, board approved, agent contacted, offer discussed, closed or dead. Each state has owners, dates, and things that expire. The watch schedule has gaps nobody notices until the window opens. The contract expiry that made a target interesting passes quietly. The agent who was warm in November is now representing him to someone else.

This is customer relationship management (CRM) applied to players, and clubs resist calling it that, which is why they end up managing it in a phone. Generic sales tools do not fit either, because their object model has no concept of a fixture, a window, or a work permit.

Problem 5: nobody grades the graders

The club signs a player. Two years later he is either a success or an expensive lesson. Almost no club can reconstruct who advocated for him, what the reports said, which attributes were flagged as risks, and which scouts were right. Without that loop, the recruitment model never improves, and the department's beliefs stay beliefs.

Or you have lost institutional memory once already through a change of sporting director and do not intend to repeat it.
