Then retain the recommendation record locally, because in ten years another state will ask you to verify it and the portal will not help.

What happens when disposition records and rater calibration are not covered?

Dispositions are the most legally sensitive records a college of education keeps, because acting on them can end a career path before it begins. Handled the usual way, a concern is an email chain plus a memory of a hallway conversation, which does not survive contact with a grievance.

What a defensible record needs:

  • A dated observation of a specific behaviour with a named author, rather than a characterisation of the candidate.
  • Documented notification to the candidate and a recorded meeting.
  • A written improvement plan with checkpoints and a decision with a stated appeal path.
  • Append only storage, so amendments are visible rather than replacing history.
  • Role scoped visibility and access auditing, because a concern filed by one instructor should not be readable by every faculty member, and you need to be able to say who opened it.

Rater calibration is the quieter gap and it decides your accreditation conversation. Accreditors ask whether raters apply the instrument consistently, not whether you have scores. That requires recording who was trained on which instrument and when, and comparing scoring across supervisors on the same evidence. Programmes that can show agreement data have a materially easier conversation, and almost nobody has it because the underlying systems store the total rather than the indicator.

Should you build custom or configure what you already own?

Configure and stay put if you place fewer than roughly 150 candidates a year in one or two licensure areas in a single state with a stable set of partner districts.
