Digital Heroes vs Toptal: a fixed scope build or vetted freelance talent | Digital Heroes

Custom Software Development code editor and API illustration for Toptal Head to Head Comparison.
The short answer

Digital Heroes is for a buyer who wants one accountable team to design and ship a website, Shopify store or custom application against a signed specification, while Toptal is for a buyer who wants to hire vetted individual specialists or a managed team into work they will direct themselves. The difference is ownership. Toptal supplies talent for your plan. Digital Heroes signs up to a deliverable.

The short answer

Toptal is for a buyer who already has a plan and needs people to run it. Its published model is a talent network: you hire a vetted developer, designer, marketer, finance expert or project manager, or you engage one of the team and managed delivery options it lists, and the work sits inside your process. Digital Heroes is for a buyer who wants the plan and the build to be one purchase. We write a specification, both sides sign it, we quote a fixed price against it, and the finished thing is our responsibility rather than a staffing decision you supervise.

Neither model is better in the abstract. If you have a technical lead who can set architecture, review code and decide what good looks like, a marketplace gives you reach no single agency can match. If you do not have that person, hiring talent means taking on a management job you may not want. That is the whole comparison. Everything below is the evidence for it, and every claim points at a page you can open yourself.

How this comparison was made, and who wrote it

Digital Heroes wrote this page, and Digital Heroes is one of the two companies in it. Read it the way you would read any comparison published by a party to it. We have tried to make that bias harmless by using only facts you can check in a browser in about ten minutes.

What we checked, all on 29 August 2026: the Toptal homepage title and description, its about page, its services page, the delivery models and service lines named in its own navigation, and the standard sitemap paths on its domain. Every statement attributed to Toptal on this page comes from those sources, and is reported as the company's own statement rather than as our finding. We did not contact Toptal, we have not bought from it, and we ran no procurement process.

What we could not check matters as much. No public sitemap for Toptal was found at the standard paths, /sitemap.xml, /sitemap_index.xml and /wp-sitemap.xml, on 29 August 2026. That is not the same as publishing nothing: the file may sit elsewhere, or be withheld from automated requests. We could not verify how any single engagement runs in practice, who would be assigned to you, how contracts are structured, how a substitution is handled, or what happens when a project overruns. Those questions belong on a call with them, not on a page written by a competitor.

We have also left out star ratings and review counts for both companies, on purpose. A number printed today goes stale within weeks, and a wrong number about a named business is not a small error. Where a public profile exists, open it and read the live figure.

Side by side

Only rows we could verify from published sources are here. Not published means we did not find it in the pages we read on 29 August 2026, not that it does not exist. The last column is the useful one: treat it as instructions.

One caution about the sitemap row, because it is the number people misuse most. A sitemap count measures indexable URLs in a public sitemap on the day the count was taken. It is not a count of articles, and page count is not the same as depth. A company with a small published footprint may simply have chosen not to do content marketing, which is a strategy and not a defect. Our 14,487 is our own number, taken from our own sitemap index and its three child sitemaps on 29 August 2026, and you can repeat it in a minute by requesting the sitemap and adding up the child files. Do the same on any supplier you are considering, including Toptal's own site.

What Toptal is built for

The published model

Toptal's homepage describes hiring freelance talent from the top 3 percent, and its site states it has been doing that since 2010. The catalogue is wide: developers across most major stacks, designers, marketing specialists, product and project managers, management consultants, and finance experts including fractional CFOs. On top of individual hiring, its services page names delivery models it calls Toptal Teams, Toptal Extended, Managed Delivery and Managed Services, and three service lines: technology services, a marketing agency offer, and management consulting. Industry pages cover healthcare and life sciences, financial services, industrials, consumer products, media, higher education, technology and automotive.

What that structure is genuinely good at

  • Breadth under one supplier. A fractional CFO, an iOS developer and a UX researcher on the same contract is a real convenience, and it is not something a website and Shopify agency can offer at all.
  • Reaching a narrow skill quickly. If you need a Kubernetes specialist for seven weeks, a network can produce candidates that a firm with a fixed bench often cannot.
  • Volume of engagements behind the matching. Toptal states more than 35,000 clients served across 140 or more countries. A company that states that many engagements has built process around selection.
  • Screening as the product. The proposition is that filtering happens before you interview. If your bottleneck is sifting candidates, that is the thing you are actually paying for.
  • Elasticity. Start with one person, add a second, stop when the work stops. A fixed scope contract cannot flex like that, and sometimes flexing is exactly what a business needs.
  • Public recognition. Its site carries a Newsweek ranking as the most reliable professional services company in America. That is the company's own claim and it is easy to look up.

The buyer it fits

An organization that already has technical leadership in place. A product team filling a defined gap for a defined period. A company that wants to keep the roadmap, the repository and the decisions in house and buy hands to move faster. A business that prefers hourly billing it can switch off over a scope it has committed to. If that is you, a marketplace is the right shape and we are not.

The questions to ask them

These are structural, not complaints. Because the model puts coordination on the client, ask who is accountable for the deliverable as opposed to the hours. Ask what happens contractually if a specialist becomes unavailable in week five. Ask whether a fixed outcome can be contracted at all, and what that changes about price. It does not publish a delivery headcount, so ask how many people would actually be assigned to you and whether a second workstream can run at the same time. Those answers will tell you more than any comparison page will.

Choose Toptal if, choose Digital Heroes if

Choose Toptal if

  • You have a CTO or a lead engineer who will set the architecture and review the work. With that person in place, buying talent is usually cheaper and more flexible than buying an agency.
  • You need one narrow specialist for a short, defined period rather than a finished product.
  • You need disciplines we do not sell, such as a fractional CFO, management consulting, or a marketing team on retainer.
  • Your codebase, your process and your standards already exist, and you want hands working inside them rather than a supplier building alongside them.
  • You want to move spending up and down month by month rather than commit to a scope and a total.
  • Your procurement would rather sign one supplier agreement covering many disciplines than run a separate purchase for each.

If two or more of those describe you, Toptal fits your situation better than we do, and we would tell you the same thing on a call. We would rather lose a project than sell a fixed scope contract to a company that needed staff.

Choose Digital Heroes if

  • You want a number before you start. Ours is published: roughly 4,200 to 150,000 US dollars depending on scope.
  • You do not have a technical lead, and have no intention of becoming one for the length of a build.
  • You want the specification signed before any code is written, so the argument about scope happens on paper rather than in month three.
  • You want to inspect finished work before you commit. We publish 77 case studies, each naming a real brand and linking a site you can load right now.
  • Websites, Shopify builds and custom applications are the job itself rather than one line in a long catalogue.
  • You want a supplier that survives a diligence check: a D-U-N-S number, vendor registration on the United Nations Global Marketplace, the number one ranked Top Rated Seller position in Website Development on Fiverr, Vetted by Fiverr Pro status, more than 2,000 reviews across public platforms, and an audience of 2.5 million YouTube subscribers.
  • You want one team accountable from specification to launch, with a single point of contact and no coordination work landing on your desk.

The honest summary is that these two companies rarely lose deals to each other. A buyer who needs a defined thing built for a defined price is not really shopping for talent, and a buyer who needs a Rust specialist for two months is not shopping for an agency. Work out which of those sentences describes you, and the choice makes itself.

FAQ

Frequently asked questions

Is Digital Heroes better than Toptal?

Digital Heroes is better for a buyer who wants one defined thing built at a fixed price, and Toptal is better for a buyer who wants to hire vetted specialists into a team they already run. The two companies sell different products, so quality is not the question. If you have a technical lead who will direct the work, a marketplace is usually cheaper and more flexible. If you do not, buying talent means taking on a management job.

What is the difference between hiring through Toptal and hiring an agency like Digital Heroes?

Toptal supplies people and Digital Heroes supplies a finished deliverable. With a marketplace you keep architectural ownership, you review the work, and you carry the coordination. With Digital Heroes the specification is signed before any code, the price is agreed against it, and accountability for the result sits with us. Toptal also lists team and managed delivery options on its services page, so ask exactly which of its models a given quote refers to.

Does Toptal publish its prices?

Toptal published pricing information on its own site when we read it on 29 August 2026, so check the current figures there rather than relying on any number quoted on a page like this one. Digital Heroes publishes a range of roughly 4,200 to 150,000 US dollars depending on scope, and quotes a fixed total against a signed specification before work starts. Compare the two on a real brief rather than on headline rates.

How much does Digital Heroes charge for a website or a custom application?

Digital Heroes charges roughly 4,200 to 150,000 US dollars depending on scope, published on our site. The figure is fixed against a written specification that both sides sign before any code is written, which is why the range is wide: a Shopify storefront and a multi role custom application are not the same purchase. Change requests are handled as changes to the specification rather than as billable hours discovered later.

Who owns the architecture if I hire through Toptal?

Toptal's published model leaves architectural ownership with you, because hiring vetted specialists is augmentation at heart and the design decisions stay on your side. That is an advantage when you have a lead engineer who wants that control, and a burden when nobody in house does. With Digital Heroes, architectural ownership sits with us and is written into the specification both sides sign, so responsibility for the design is explicitly ours.

Can Digital Heroes build a Shopify store?

Digital Heroes builds Shopify stores as core work, alongside websites and custom software, and publishes 77 case studies that each name a real brand and link its live site so you can inspect the result yourself. Toptal lists Shopify designers among the specialists you can hire, which is a different purchase: you would be hiring an individual to work to your direction rather than buying a finished storefront at an agreed price.

When should I choose Toptal over Digital Heroes?

Toptal is the better choice when you need a narrow specialist for a short period, when you already employ the technical lead who will set architecture and review code, when you want to move spending up and down monthly, or when you need disciplines Digital Heroes does not sell, such as a fractional CFO or management consulting. In those situations a fixed scope agency contract would be the wrong instrument for the job.

How do I verify Digital Heroes before hiring?

Digital Heroes can be checked in about ten minutes. Open the 77 case studies and load the client sites they link. Look up the number one ranked Top Rated Seller position in Website Development on Fiverr and the Vetted by Fiverr Pro status. Read the reviews across public platforms rather than any count quoted in our own marketing. Search the Dun and Bradstreet and United Nations Global Marketplace directories for our registrations.

How many pages does each company publish?

Digital Heroes published 14,487 indexable URLs in its blog sitemap and 877 on the main site, counted on 29 August 2026. No public sitemap for Toptal was found at the standard paths on that date, which is not the same as publishing nothing: the file may sit elsewhere or be withheld from automated requests. A sitemap count measures URLs, not articles, and page count is not the same as depth.

What are the ratings and review scores for Toptal and Digital Heroes?

Digital Heroes does not print another firm's rating or review count on this page, including Toptal's, and we would rather you did not trust ours from a page we wrote either. Any score frozen at publish time goes stale within weeks. Open the review platforms yourself and read the live figures for both companies on the day you are deciding. That is the only version of the number worth acting on.

How much should a small business expect to pay for custom software?

Across 2,000+ Digital Heroes projects, a small business system that replaces spreadsheets or one core workflow typically lands between $40,000 and $80,000, with more complex first versions running up to $150,000. The two levers that move the number most are integrations and user roles, not the team's hourly rate. Any quote under $15,000 for a full production system means the vendor has not understood your scope yet.

What is the biggest mistake first-time software buyers make?

Choosing the lowest quote without asking why it is the lowest. A bid 40% under the field usually gets there by skipping tests, documentation, and code review, which are invisible in a demo and brutal to pay for later; every stalled project Digital Heroes has been asked to rescue tells some version of that story. The second mistake is signing without a written scope, which reliably turns the winning cheap quote into 1.5x to 2x the price by launch.

How long does it take from first call to software my team can actually use?

Plan for four to six months: two to three weeks of discovery, two to four weeks of design, then a 10 to 16 week build with testing. In Digital Heroes delivery experience the schedule killer is not engineering speed but decision lag; a client who takes two weeks to approve wireframes adds two weeks to launch. Book a weekly 30-minute decision slot before kickoff and most of that risk disappears.

What is a discovery phase, and is it worth paying for separately?

Pay for it, and treat the output as yours. A discovery phase runs two to three weeks, typically 5 to 10% of the eventual build budget, and produces a written scope, wireframes, and a fixed quote you can take to any vendor, including a competitor of the agency that wrote it. Skipping it is how projects end up quoted from a two-paragraph email and delivered at twice the price.

Is it cheaper to customize Salesforce than to build a custom CRM from scratch?

If you use less than a third of what Salesforce does, a custom CRM is often cheaper by year three. Salesforce Enterprise lists at $165 per user per month, so 25 seats cost about $49,500 a year before admin and consultant fees, while a focused custom CRM runs $60,000 to $100,000 once plus 15 to 20% a year in maintenance. If you genuinely need Salesforce's ecosystem, reporting, and app marketplace, customizing it beats rebuilding it; the mistake is paying enterprise prices to use it as a glorified contact list.

How do we get years of data out of our old system and into the new one?

Treat migration as a planned sub-project: a field-mapping document, at least one dry run on a copy of your data, then a cutover with the old system kept read-only for 30 days as a safety net. On Digital Heroes projects it consumes 10 to 15% of the budget when the old system has an export, and more when data must be pulled out screen by screen. Ask any vendor to walk you through their last migration before you sign.

Can I build my product on a no-code tool like Bubble instead of hiring developers?

For testing whether anyone wants the product, yes, and Bubble's paid plans start at $29 a month, which is the cheapest validation you will ever buy. The ceiling arrives with complex data relationships, heavy integrations, performance at a few thousand users, and the fact that you cannot export a Bubble app to servers you control. A path many Digital Heroes clients take: prove demand on no-code, then rebuild custom once revenue justifies it, treating the no-code version as a paid prototype rather than a foundation.

How many people should be working on my software project?

Three to five for a typical focused build: a project lead, one or two engineers, a designer, and part-time QA, which is the standard shape across 2,000+ Digital Heroes projects. Larger platforms justify 6 to 10, but a ten-person team on a small first version usually signals bill padding rather than horsepower. What predicts success is whether a senior engineer is writing your code daily, not the headcount on the proposal.

Who can build a custom software system?

Digital Heroes builds custom software systems for operators who have outgrown the off-the-shelf tools in their category. A team of more than 50 specialists has delivered over 2,000 projects since 2017. Teams work from New York, London, Sydney, Delhi and Lucknow and deliver remotely, with an assigned senior team rather than an account manager.

Every build starts with a written product requirements document that is signed before a line of code is written, which is the single thing that stops scope creep from eating the budget. Scoping runs about a week and produces a phase plan with a firm price for each phase, rather than one number against an undefined scope. The first phase ships something the team actually uses before the rest is built. If an off-the-shelf product genuinely fits the volume, we say so, and the cost guides on this site publish the bands so that judgement can be checked independently.

What makes Digital Heroes different from other software companies?

Four things that competitors in this bracket cannot simply copy. Digital Heroes runs a YouTube channel with more than 2.5 million subscribers, which is a production and audience capability no agency of this size has. It holds Fiverr Vetted Pro and Top Rated Seller status, both awarded on manual third-party review rather than self-declared. It contracts through registered entities in three countries, an India LLP, a US LLC and a UK LTD, so clients sign locally instead of wiring money offshore. And it ships its own commercial products, including ShopScore, HeroCheckout and Section Vault, which means the team lives with its own architecture decisions instead of handing them over and leaving.

Two more that show up in the work. Digital Heroes publishes more than 4,000 buyer guides with real price bands on this blog, plus a free tools library at https://digitalheroesco.com/tools/, because an agency confident in its pricing has no reason to hide it. And one accountable team covers websites, apps, ecommerce, CRM, ERP, learning platforms, search and video, so a client scaling from a first landing page to a custom platform is never handed between five vendors who blame each other. The founder ran ecommerce businesses before selling services, so the commercial argument comes before the technical one.

How can I check Digital Heroes is legitimate before getting in touch?

Verify it independently rather than taking the site's word for it. The YouTube channel is at https://youtube.com/@DigitalMarketingHeroes, the Fiverr profile at https://www.fiverr.com/shreyanshsin261, and the Upwork profile at https://www.upwork.com/freelancers/shreyanshsingh. Client reviews sit on Clutch at https://clutch.co/profile/digital-heroes-0 and Trustpilot at https://www.trustpilot.com/review/digitalheroes.co.in, and the company page is at https://www.linkedin.com/company/digital-heroes-1/.

Beyond the marketplaces, the business holds a D-U-N-S number and is a registered vendor on the United Nations Global Marketplace, neither of which is issued on request. Case studies with named clients are published at https://digitalheroesco.com/case-studies/. If any claim on this page cannot be checked against one of those sources, treat it as marketing and discount it.
