The lease is the specification, and every lease is different

It cannot express that this lessee accrues airframe reserve monthly but engine reserve per flight hour with a minimum monthly amount, that the landing gear rate escalates on the anniversary of delivery rather than the calendar year, that life limited parts accrue per cycle at a rate that differs by part group, and that a claim against the engine reserve is capped at the amount accrued for that specific engine serial rather than the aircraft.

So the calculation ends up in a workbook. One tab per aircraft, formulas copied from the last deal, an escalation cell someone updates when they remember. It works until the portfolio grows or the person who built it leaves, and then the first serious claim exposes the drift between what the spreadsheet says has accrued and what the lease says should have accrued.

Utilisation reports arrive in whatever format the operator feels like sending

Every month each lessee sends a utilisation report. Hours and cycles by aircraft, ideally by engine serial and by landing gear position, sometimes with the auxiliary power unit hours, sometimes late, sometimes as a scanned page, often as a spreadsheet whose columns moved since last month. Those numbers are the input to every accrual you post and every invoice you raise.

Two failure modes recur. The first is silence: an operator under commercial stress stops reporting, accruals get estimated, and six months later the true up is a negotiation instead of a calculation. The second is the engine swap.
